Terms of Service

1. Acceptance

By creating an account or using Vault Canvas you agree to these terms. If you do not agree, please do not use the service.

2. About Vault Canvas

Vault Canvas is an artwork management and publishing platform for artists. It helps artists catalogue their work, maintain an archive, publish portfolio pages, generate Certificates of Authenticity, produce QR provenance records, create room mockups and prepare marketing content from a single artwork record. Vault Canvas is not a marketplace, online store, print-on-demand service or payment processor.

Vault Canvas does not independently verify artwork authenticity, ownership, provenance or valuation. Records you create describe what you have entered; they are not an independent appraisal or certification by Vault Canvas.

3. Beta service

The platform is currently in beta and provided free of charge. Features may change, and the service is offered on an "as is" and "as available" basis without warranties of uninterrupted availability or fitness for a particular purpose. We will give early adopters reasonable advance notice before introducing paid plans.

4. Accounts

You must provide accurate information when you create an account and keep your login credentials secure. You are responsible for activity that takes place under your account. Notify us at hello@vaultcanvas.ai if you suspect unauthorised access.

5. Your content and ownership

You retain all rights in the artwork, images, text and other content you upload. You grant Vault Canvas a limited, worldwide, royalty-free licence to host, store, copy, display and process your content solely to operate the service for you — for example to render your portfolio, generate certificates and provenance pages, produce mockups, and deliver features you use. This licence ends when you delete the content or close your account, subject to short retention in backups.

6. Public pages and published information

You choose what to publish. Public portfolio pages, shareable certificates and QR provenance pages are intended to be visible to anyone with the link, and may be indexed by search engines unless you opt out in the artwork settings. You are responsible for the accuracy of information you publish and for ensuring you have the rights to publish it.

7. Provenance, certificates and artwork records

Provenance entries, certificates and artwork records reflect the information you enter into Vault Canvas. They are intended to help you document your work, not to act as an independent authentication, appraisal or guarantee. Buyers, collectors and third parties relying on these records should make their own enquiries.

8. AI-assisted tools

Studio AI features generate narrative, descriptive and presentation suggestions from the metadata and imagery you provide. You are responsible for reviewing, editing and approving any AI-generated text or imagery before publishing it under your name. We do not warrant the accuracy of AI-generated output.

9. Acceptable use and prohibited content

You agree not to upload, publish, store, share or generate content through Vault Canvas that:

  • is unlawful, fraudulent, misleading or harmful;
  • infringes copyright, moral rights, trade marks, privacy rights, publicity rights or other legal rights;
  • misrepresents authorship, ownership, provenance, sale status, exhibition history, authenticity or valuation;
  • contains child sexual abuse material or any content involving the sexual exploitation or abuse of children;
  • contains non-consensual intimate images, image-based abuse or unlawfully shared private images;
  • contains extreme pornography, unlawful sexual content or obscene material;
  • promotes, encourages or depicts serious violence, terrorism, self-harm or criminal activity;
  • contains hateful, threatening, abusive, harassing or discriminatory material;
  • targets people on the basis of protected characteristics;
  • contains malware, phishing material, deceptive links or attempts to interfere with the operation of the service;
  • impersonates another person or falsely suggests endorsement, representation or affiliation;
  • is otherwise unsuitable for an artwork management and publishing platform for contemporary artists.

Vault Canvas may remove, restrict, unpublish or disable access to any content that we reasonably believe breaches these terms, creates legal risk, threatens platform security, affects other users, or is otherwise inappropriate for the service.

In serious cases, we may suspend or terminate the relevant account without prior notice. We may also preserve relevant records and report unlawful content or activity to appropriate authorities where legally required or where we reasonably consider it necessary.

10. Content moderation and public access

Vault Canvas may review content, account activity, public portfolio pages, artwork pages, certificate pages and QR/provenance pages where we reasonably believe there may be a breach of these terms, a legal issue, a security issue, a rights complaint, or misuse of the service.

We may take any of the following actions:

  • remove or delete content;
  • hide, restrict or unpublish content;
  • disable public access to an artist profile, artwork page, certificate page or QR/provenance page;
  • suspend publishing features;
  • suspend or terminate an account;
  • refuse to restore removed content;
  • contact the account holder for further information;
  • report serious unlawful content or activity to appropriate authorities.

Where practical, we will try to give notice and explain the reason for moderation action. However, we may act immediately and without prior notice where we believe this is necessary to protect users, third parties, Vault Canvas, the public, or to comply with legal obligations.

11. Service availability and backups

We aim to keep the platform available and to maintain regular backups, but we do not guarantee uninterrupted access or that data will never be lost. You are encouraged to keep your own copies of important files using the export tools we provide.

12. Suspension and termination

You may close your account at any time. We may suspend or terminate accounts that breach these terms, that pose a security or legal risk, or where we are required to do so by law, with reasonable notice where possible.

13. Deletion and export

You can export your archive and supporting files, and delete records or your entire account, from your settings. After account deletion we remove your data from active systems within 30 days, subject to limited retention in encrypted backups and any retention required by law.

14. Third-party services

The platform relies on third-party providers for hosting, storage, email, analytics and AI. Their availability or behaviour may affect parts of the service. We are not responsible for third-party websites or services you link to from your Vault Canvas pages.

15. Changes to these terms

We may update these terms from time to time. If we make material changes we will provide reasonable notice — for example, by email or an in-app message — before they take effect. Continued use of the service after changes take effect constitutes acceptance.

16. Liability

To the maximum extent permitted by law, Vault Canvas is not liable for indirect, incidental, special or consequential losses, or for loss of profits, revenue, goodwill or data, arising out of or in connection with your use of the service. Nothing in these terms limits liability that cannot be limited by law.

17. Governing law

These terms are governed by the laws of England and Wales, and disputes will be subject to the exclusive jurisdiction of the courts of England and Wales, except where mandatory local law gives you the right to bring proceedings elsewhere.
