Artwork inventory

Artwork inventory software for working artists

Most artists' records end up spread across spreadsheets, photo folders, email and notebooks. When a buyer, gallery or insurer asks for a work's details, finding them takes longer than it should. Vault Canvas keeps each artwork's records together in one place.

One record for each artwork

Each artwork has a single record holding its images, title, year, medium, dimensions and archive reference. Everything else on this page hangs off that record, so you enter the details once.

From record to certificate

Generate a Certificate of Authenticity at A4 or A5 from the details already in the record, so the title, medium, dimensions and reference match. You sign it by hand. If you prefer to work on paper, use the free certificate of authenticity template.

Sales, invoices and condition reports

Record sales and transfers with their invoices, and keep condition reports with attached files. A condition report can be locked to preserve it as evidence. These records are private by default.

Exhibitions and provenance

Log the exhibitions a work has been shown in and build a provenance timeline as it changes hands. For the background, read what artwork provenance is and how to record it.

A public portfolio that shows only what you choose

Publish artwork pages with availability, prices and an enquiry button, drawn from the same records. Private details such as buyers, invoices and notes are never shown.

Who it suits

Artists who sell or exhibit original work and want their records, certificates and public portfolio to agree with each other. It is not built for collectors or galleries, and the record is only as complete as you keep it: add sales, transfers, exhibitions and condition checks as they happen.

Questions

It is a place to keep one record for each artwork you make: its images, details, reference number and the documents that build up around it, such as certificates, invoices and condition reports. It replaces scattered spreadsheets, folders and notebooks.
